Job Overview:
The New York Racing Association is seeking a detail-oriented and highly organized Event Operations Coordinator to assist with the oversight of live racing operations. This role will play a critical part in ensuring seamless day-to-day racing operations, pre-meet facility readiness, and the successful coordination of cross-departmental initiatives.
The ideal candidate will have experience in large-scale events, live operation environments, with strong project management and administrative capabilities.
Essential Functions:
Event Operations Management:
•Assist with the oversight and preparedness of pre-meet facility build out and overlay, ensuring venue readiness, safety, compliance, and guest experience standards are met.
•Conduct in-meet daily operational readiness checks to ensure all departments are fully prepared for race-day activities.
•Coordinate cross-departmentally (Facilities, Security, Hospitality, Sales, Racing Operations, Events/Marketing etc.) to ensure daily operational alignment.
•Supervise seasonal staff brought on to assist with the execution of daily event activities, including onboarding, scheduling support, and performance oversight.
•Work cross-departmentally to ensure proper coordination takes place regarding activation spaces.
•Assist in special event setups and tare downs.
Project & Event Oversight:
•Manage multiple operational projects simultaneously, maintaining timelines and deliverables
Administrative & Documentation:
•Handle administrative responsibilities including quote gathering, RFQ/RFP creation and purchase request processing
•Develop and maintain meeting agendas and documentation
•Track vendor performance, budget and project milestones
Qualifications:
•Bachelor’s degree required
•Valid drivers license
•1-3 years of experience in large-scale event operations
•Experience within horse racing or a live sporting venue environment strongly preferred
•Demonstrated ability to manage multiple projects in a fast-paced setting
•Strong administrative and organizational skills including procurement processes
•Excellent written and verbal communication skills
•Ability to work on-site with flexible hours including early mornings, evenings, weekends and holidays during live racing and major events

Pay Range / Salary: $27.94 - $34.08
